This position is primarily responsible for providing HRSS Administration, in accordance with Service Level Agreements, to employees, managers and Human Resources in Sweden, Finland and India. Undertake all administration tasks associated with HR data processing covering the employment life cycle e.g., on-boarding, employment changes, benefit & pensions scheme administration, leave and absences and terminations. Responsible for accurate HR System data input and general record keeping and ensuring the payroll team receives the required information for processing. Provide administration support to help deliver a positive employee experience and supporting all employees and managers with first line information and support on HR systems, policies and HRSS procedures.
- Maintain accurate and timely data in HR systems, support self-service functions, and ensure data integrity through audits and updates.
- Handle manager and employee transactions in HR Cloud, ensuring alignment with job and approval matrices.
- Generate and validate HR reports (e.g., headcount, payroll, absence) to support business and HR goals.
- Manage onboarding tasks in ServiceNow and ORC, and ensure smooth transitions for new hires and leavers.
- Maintain up-to-date employee files, support electronic filing systems, and ensure compliance with documentation standards.
- Track and resolve service requests in ServiceNow, ensuring SLA compliance and accurate case documentation.
- Provide data for annual compensation cycles and administer benefit changes for hires, leavers, and life events.
- Prepare employment documentation, manage pre-employment checks, and support payroll with accurate employee data.
- Offer guidance to managers and employees on HR policies, benefits, and employment terms.
- Support process redesign using LEAN methods, identify automation opportunities, and contribute to service efficiency.
- Train users on HR systems (HR Cloud, ServiceNow, OnBase) and maintain user-friendly guidance materials.
- Update and expand HR knowledge bases (e.g., SharePoint, ServiceNow articles) to enhance self-service capabilities.
- Bachelor’s degree in human resources, Business Administration or Economics
- Experience in Customer Service and/or administrative function. This could either be experience through internships, student jobs or regular jobs.
- Exceptional attention to detail and accuracy
- Desire and ability to make process improvements
- knowledgeable in Microsoft Office - Excel, Word, Power Point
Preferred:
- Working knowledge of HR Regulatory Framework, Employment Law & General Data Protection Regulations, Working Time, Family Friendly legislation, statutory entitlements etc.
- Ability in the use LEAN methodology
- Knowledgeable in HR Systems e.g. Oracle applications
