Vice Head of Operations, SciLifeLab Administrative Centre in Uppsala and Operations Office
SciLifeLab is a leading international research centre for molecular biosciences, established in 2010 through a collaboration between four Swedish universities: Karolinska Institutet (KI), KTH Royal Institute of Technology, Stockholm University (SU), and Uppsala University (UU). Our mission is to develop, utilize, and provide access to advanced technologies that enhance understanding of molecular processes in health and environment. Since 2013, SciLifeLab has been designated national research infrastructures and now operates across most major Swedish universities. All personnel are employed by one of the affiliated universities.
Approximately 25% of SciLifeLab’s national infrastructure is located in Uppsala, distributed across 15 units at Uppsala University and the Swedish University of Agricultural Sciences (SLU). The central hub of this network is Navet, located at the Biomedical Centre (BMC), which serves as a collaborative meeting place for the local research community.
KTH is the principal for the activities and is responsible for the national operational support.
Duties
This position combines local and national leadership responsibilities at SciLifeLab Administrative Centre in Uppsala and Operations Office in Solna and Stockholm.
The position as Head of the Administrative Centre for SciLifeLab in Uppsala involves responsibility for the centre's staff and finances, operation and development of the meeting place Navet, collaboration, representation, etc. You work together with Uppsala's Scientific Director on the Uppsala Committee for SciLifeLab, and implement local initiatives such as strategic recruitment, calls for proposals, development of governance and process documents, communication and pilot projects. The Head of Administration is the rapporteur of the Uppsala SciLifeLab Committee and a member of its operational management team. You also oversee work environment, core values, salary reviews, and team development.
The position also includes a national assignment from SciLifeLab's Board to lead the national operational support for SciLifeLab, Operation Office, together with the Head of SciLifeLab Administration at KTH. The Head of SciLifeLab Administration at KTH is currently the Head of Operations. The Director of the Administrative Centre for SciLifeLab in Uppsala will be appointed Deputy Head of Operations. This means that some working hours will be based in Solna and Stockholm and that travelling within and outside the country will occur.
The Head of Operations and the Deputy Head of Operations at SciLifeLab are jointly responsible for managing both the staff and the activities of the Operations Office, as well as managing overall national issues related to SciLifeLab's mission.
The Operations Office has a broad and strategic mission that includes coordination of SciLifeLab's finances, producing documentation for the Director and Board, and organising support functions for infrastructure, evaluations and operational monitoring. The office is also responsible for the coordination and administration of training activities, the planning and organisation of scientific events, and SciLifeLab's communication and information activities. Other key tasks include organising reporting, handling cases and developing administrative processes with a focus on quality and efficiency.
Key areas of responsibility include business planning and financial management as well as resource allocation both within both the Administrative Centre and Operations Office. The roll includes leadership in communication, events, training and collaboration. Other areas are development of research networks and partnerships.
Requirements
We are looking for a person who have experience of and are stimulated by taking responsibility and creating results in knowledge-based environments.
You have a PhD in molecular biosciences or equivalent relevant field and have experience of administration at a university or equivalent academic environment, and you are ready to take on administrative leadership in a research organisation. You have experience of and a strong interest in leading people, as well as organising large-scale operations. In addition, you have experience of budget work. A very good knowledge of Swedish and English, both spoken and written, is a requirement, as both languages are used in the daily work.
Your personal qualities are of great importance. You are communicative, structured and have the ability to engage co-workers, and to set goals and directions for both employees and the organisation. You are good at building trust and developing relationships. You have the ability to quickly familiarise yourself with new and complex projects, have good analytical skills and show initiative. Independence, responsiveness, teamwork and unpretentiousness are essential to succeed in this role.
Additional qualifications
It is meritorious if you have participated in one or more activities such as communication, collaboration with industry or health care and contract management. Participation in training and major event planning is also meritorious as SciLifeLab provides training in various methods and techniques. Experience from working within or with governmental bodies is an advantage.
About the employment
The post is open-ended (probationary period may apply). The duration is 100 %. Start date as soon as possible or as agreed. Location: Uppsala, as well as some hours at the Solna office. You will also be expected to attend national and international meetings elsewhere.
