Cirka 75 % av din tid fokuserar på gåvohantering. Du ansvarar för hela processen av
- Ansvara för registrering och administration av gåvor i vårt CRM-system
- Säkerställa att dataimporter/överföringar sker korrekt och i tid.
- Genomföra kvalitetskontroller och säkerställa dataintegritet i systemet.
- Ta fram rapporter, och säkerställa avstämningar och ta fram underlag för
- Effektivisera processer och arbetsflöden i Sverige, och tillsammans med globala
- Stötta i arbete med e-postinkorg för givarfrågor vid behov.
- Hjälpa till att moderera kommentarer i sociala medier.
- Bidra till utskick och annan kommunikation relaterad till gåvor.
- Har erfarenhet av CRM-system (gärna Salesforce) och hantering av kunddata.
- Stark datorvana med särskild skicklighet i MS Word och Excel.
- Har god kommunikationsförmåga, både muntligt och skriftligt, på svenska och
- Är strukturerad, noggrann och har öga för detaljer.
- Har god förmåga att samarbeta med kollegor i ett internationellt team.
- Kan identifiera förbättringsområden och lösa problem kreativt.
- Har förmågan att arbeta självständigt och planera ditt arbete effektivt.
- Tidigare erfarenhet av gåvohantering, insamling eller arbete i ideell sektor.

IRC Sweden is hiring a person for our Global Donation Operations (GDO) team and
Donor Service Team, with an estimated 75/25 split between gift processing and donor
services. While the role is focused on day-to-day operations, we welcome candidates
who have a strategic outlook and are eager to contribute to process improvements and
long-term development within donation operations.
The Purpose of the Role
Global Donation Operations – Primary Focus (75%)
In this role, the officer will be an integral part of GDO efforts, ensuring accurate and
timely handling of donation data. Key responsibilities include overseeing the end-to-end
gift processing workflow, maintaining clean and up-to-date donor records in the CRM
system, managing data imports and exports and ensuring data integrity through regular
quality control checks. The officer will also work with GDO team to contribute to the
development and maintenance of departmental protocols and seek opportunities to
improve efficiency and automation across
systems and processes.
Donor Service – Secondary Focus (25%)
The officer will serve as a backup for the Donor Service officer, stepping in to manage
donors and public inquiries via email and social media when needed. In this capacity,
the officer is expected to uphold a first-class supporter experience across all
communication channels and donor segments. Additional responsibilities may include
assisting the Mass Markets team in the execution of marketing activities and
campaigns.
Key Responsibilities
Gift Processing
- Oversee administrative handling and registration of gifts, ensuring accurate and
- Continuously improving registration processes in collaboration with the Global
- Monitor and maintain automated and manual data uploads, ensuring high data
- Import and reconcile monthly sustainer (recurring donor) payments
- Manage financial coding and income reconciliation, providing accurate weekly
- Maintain a clean, accurate CRM database by resolving duplicate donor records
- Handle updates to donor information, including changes to monthly gifts and
- Conduct daily quality control and data validation to ensure accuracy in financial
- Collaborate with international teams to ensure consistency and correctness in
- Develop and maintain protocols and documentation to support seamless data
- Identify opportunities to streamline and automate workflows for greater
Donor Services
Backup and support to donor service department.
- Supports the donor service email inbox as needed.
- Support with moderating comments on social media channels.
- Possible other donor service-related tasks e.g. send out gift cards.
Cross-Team Collaboration & Development
- Support onboarding and knowledge sharing for new systems or suppliers from a
- Provide feedback on processes to improve efficiency regarding gift processing
PERSON SPECIFICATION
Skills & Qualifications
- CRM experience, ideally Salesforce.
- Strong computer skills with Microsoft Office (Excel and Word essential).
- Excellent written and spoken communication in both Swedish and English.
- High attention to detail and accuracy.
- Strong interpersonal abilities with a collaborative spirit and the confidence to
- Demonstrated ability to plan strategically, adapt to changing priorities, identify
solutions.
- Outstanding organizational skills with the ability to manage multiple priorities in
- Ability to manage tasks effectively and independently.
- Able to handle sensitive data ethically and comply with GDPR.
- Demonstrated skills for analysing and interpreting data and systems (preferred).
Experience
- Has experience with CRM systems and customer data management or
- Experience in income reconciliation, fundraising, or nonprofit operations
- Previous involvement with data governance is a plus
- Previous experience in donor service is a plus
- Familiarity with the humanitarian or nonprofit sector is an advantage

REPORTS TO:
This position reports to the Director, Fundraising Operations and the Head of Donor
Service and CRM, Sweden.
You’ll collaborate closely with IRC Sweden colleagues in Fundraising and Finance.
