Personal Assistant to Managing Director
Location: Sweden (Hybrid)
Reports to: Managing Director, MENA Speakers
Overview
We are MENA Speakers, the leading speakers bureau in the Middle East, representing world-class keynote speakers, moderators, and thought leaders. We are seeking a Personal Assistant to the Managing Director — a proactive, detail-oriented, and creative professional who thrives in a dynamic, high-paced environment.
This role blends executive support, creative content coordination, and project management. You will act as the MD’s right hand, ensuring her time, priorities, and brand are managed with precision and style.
Key Responsibilities
Executive Support & Calendar Management
- Act as the primary gatekeeper of the MD’s schedule, meetings, and priorities.
- Prepare detailed briefs for meetings, events, and travel.
- Anticipate needs and ensure seamless day-to-day flow.
- Manage communications, follow-ups, and task tracking.
Content, Communication & Brand Support
- Draft professional emails, bios, social media posts, and speaker profiles.
- Format pitch decks, reports, and strategic documents.
- Liaise with PR, branding, and media teams for content execution.
Event & Speaker Coordination
- Support with speaker engagements, masterclasses, and VIP events.
- Handle logistics: travel arrangements, itineraries, and on-ground coordination.
- Attend select meetings/events to provide support and ensure continuity.
Research & Strategic Insight
- Conduct background research for meetings, speaking engagements, and partnerships.
- Prepare insight notes and executive summaries for decision-making.
Special Projects & Personal Branding
- Manage and organize the MD’s digital presence and branding initiatives.
- Coordinate files, ideas, and decks into polished deliverables.
- Assist in planning personal initiatives, retreats, and special projects.
Ideal Candidate
- Age: 22–30
- Location: Stockholm
- Profile: Eloquent, highly organized, emotionally intelligent, and adaptable
- Tech-Savvy: Skilled with Google Suite, AI, LinkedIn, Canva, and calendar/email tools
- Creative Flair: Strong writing skills and an eye for aesthetics
- Interests: Business, branding, media, leadership, or personal growth
- Mindset: Thrives in dynamic environments, flexible with timelines, discreet and dependable
